Medical Records Clerk / Receptionist

POSITION SCOPE:

The Medical Records Clerk-Receptionist is responsible to the Center Administrator and maintains an efficient medical record system that supports prompt retrieval and re-filing of charts; provides appointment scheduling, patient registration, cashiering, answering incoming calls and other related clerical functions.

 

REQUIREMENTS:

¨       Working knowledge of basic medical office practices and procedures

¨       Ability to read and understand medical terminology, written reports, and to obtain pertinent information from medical and other records

¨       Ability to communicate effectively with patients and all levels of personnel in a professional, courteous and effective manner with excellent customer service skills

¨       Good organizational skills, results-driven and goal-oriented

¨       Medical records experience preferred

¨       Ability to walk, sit, push, pull, bend, squat, reach, lift, and carry medical records.

¨       Must be computer literate and have exceptional telephone skills

¨       Knowledge of medical coding preferred

¨       Previous medical office experience preferred

¨       Must be able to display excellent telephone/switchboard etiquette

¨       Ability to multi- task in a high paced environment with good organizational skills

¨       Ability to follow written and oral instructions and to work with general guidance

¨       Demonstrated clerical skills (typing, filing, telephone courtesy)

¨       Knowledge of business office operations, telephone etiquette and basic bookkeeping principles

¨       Knowledge of HIPAA regulations

¨       High school graduate, GED or equivalent

¨       Ability to read, speak, write, and understand the English language fluently

¨       Ability to travel may be required

¨       Bilingual a plus

 

RESPONSIBILITIES:

Responsible for the accurate and timely filing of all patient medical records according to JSA procedures.  Assures medical records are pulled immediately for all patient triages and provided to clinicians in a timely manner.  Pulls all medical records for non-urgent phone messages, reports, etc.  Reviews schedule and pulls patient charts for all office visits in a timely and accurate manner.  Reviews records to ensure required reports and signatures are included.  Purges charts on a timely basis and follows process for storage according to JSA policy.  Copies and maintains medical records logs for all urgent copy requests.  Prepares and monitors all outside copy services.  Maintains strict confidentiality of all information within the facility.  Fills in for the receptionist as needed.  Responsible for accurately and professionally handling all front desk operations including answering phones, greeting patients, scheduling of all appointments, balancing daily collections, addressing routine inquiries, and forwarding non-routine requests to appropriate personnel.  Represents JSA in a professional manner, following all JSA policies and procedures.  Receives incoming telephone calls in a prompt and courteous manner and performs clerical duties as directed.  Assists with the inventory and maintenance of business office supplies and the completion of business office reports.  Works daily reports, incomplete encounters, No Show reports, and other designated administrative reports according to procedures.  Other duties as assigned.
